A pilgrim's son calls in March. His father has paid "most of it", he says, and he wants to know what is left. You open the invoice you sent in November. It has one line — Umrah package, €1,490 — and nothing else. The three cash payments since then are in a notebook, a WhatsApp chat and somebody's memory.

A generic travel agency invoice template is built for a trip that is paid in one go. An Umrah package is paid over months, usually by more than one person, and often in cash. The invoice has to carry that history, or every question about a balance turns into a search.

The short version: an Umrah invoice needs five blocks — your agency, the pilgrim and the departure, what was sold, the payments received, and the balance due. The free invoice template has all five and works out the balance for you.

What goes on an Umrah invoice

Whether you charge VAT, and at what rate, depends on your country and on how travel packages are taxed there. Ask your accountant before you copy a rate from another agency's invoice.

How to fill in the template

  1. Start a number sequence and never reuse a number. 2026-0001, 2026-0002 and so on. If an invoice is cancelled, keep its number and mark it cancelled.
  2. Write the name as the passport spells it. The same spelling goes into the visa file and onto the flight manifest. Three spellings of one pilgrim cause trouble at the airport, not in accounting.
  3. Put the room type in the line item. "Umrah package — quad room", because the gap between quad and double is real money. How to price an Umrah package shows where the gaps come from.
  4. Record every payment the day it arrives, with the method and a receipt number. Cash above all.
  5. Send the updated invoice after each installment. A pilgrim who reads "Paid €1,100, balance €390, due 1 March" pays without a reminder call.

Quotation, invoice or receipt: which document when

Some agencies also send a pro forma invoice between the offer and the invoice. The rules on when an invoice must be issued differ by country, so follow your accountant on timing. If you still need the first document, start with the Umrah quotation template.

Four mistakes that cost agencies money

  • One invoice for a whole family, with no names on it. When one member cancels, nobody can say which share was theirs. Name every pilgrim, as a line or on an invoice of their own.
  • Cash without a receipt number. The payment that appears in nobody's records is always the one in dispute.
  • No due date. "Before departure" is not a date. Visas and tickets have deadlines; so should the balance.
  • Overwriting an invoice that was already sent. Correct it with a new document, so the trail stays intact.

When a spreadsheet invoice stops being enough

The template is right for a departure or two. After that the copying starts: names from the pilgrim list, the price from the package, payments from the notebook — and every copy is a chance to be wrong.

Should I issue one invoice per pilgrim or one per family?

Either works as long as every pilgrim is named. One invoice per pilgrim is simpler when family members pay separately or one of them cancels. One per family is fine when a single person pays for everyone, provided each pilgrim appears as a line.

Do Umrah packages include VAT?

It depends on your country. Some tax travel agencies on their margin rather than on the full package price, and some services may be exempt. Ask your accountant, and leave the VAT rate at zero in the template until you know.
