Every group has its own sign-up page. This article follows a registration from the link you share to the day a pilgrim cancels or comes back for another trip.
Share the sign-up page
On the group, Share gives you the public link, a QR code to print, the same page in every language and your agency page, which always lists the departures that are open.
The page shows the dates, the packages and, unless you switch it off, the trip program. A visitor can:
- register themselves, then use Register another person to add family members in the same visit;
- or, if they are not ready, use Not ready to register? Ask the agency a question. That lands under Inquiries / Leads, not among your pilgrims.
Switch Public registration open off on the group to stop new sign-ups. Pilgrims already registered are not affected.
Review and approve
Online sign-ups arrive in the Pending Review tab of the pilgrim list. Check the details and approve, or reject with a Rejection Reason. Only approved pilgrims appear on rooming lists, manifests and visa files, and only they count towards your plan.
Capacity and the waiting list
Set a capacity on the group and it closes by itself. Pending sign-ups hold a seat while you review them. Once the seats are taken, the page says the departure is full and offers the waiting list instead; a family that no longer fits is put on the list together.
People on the list are in the Waiting List tab. When a seat frees up, approve the next one. You can approve from the list even when the group is full, if you have found the room.
Cancellations and refunds
On a pilgrim's row, Cancel Registration takes them off the group lists and gives back their room and flight seats. The pilgrim and their payments stay on record. If money is going back, enter the Refund Amount in the same step.
A refund can also be recorded on its own from a payment with Refund. Either way it is saved as a separate negative entry; the original payment is never edited away.
Returning pilgrims
Someone who travelled with you before does not need to be typed in again. Register for another trip on their row creates their registration in the new group with the details you already hold. The Returning pilgrims filter shows who has been with you more than once.
