There are three ways to get pilgrims into Ziyara: add them manually, import from Excel, or let them register themselves through a public booking form.
Add a pilgrim manually
- Open Pilgrims from the sidebar, or open a group and go to its pilgrims.
- Click Create.
- Enter the personal and passport details. Passport and national ID numbers are encrypted at rest for privacy.
- Assign the pilgrim to a group.
- Save.
Faster: read the passport. At the top of the form, click Read passport and choose or take a photo of the passport's photo page. Ziyara reads the two code lines at the bottom, checks them against their check digits and shows you every field before it fills in the name, passport number, date of birth, expiry date, gender and nationality. The photo is read in your browser and is not uploaded. You can also type or paste the two lines, or use a passport reader. Compare the result with the passport before you save: a blurred or reflective photo may not be read, and the date and place of issue are not part of the code.
A stack of passports at once. In the pilgrim list, Scan passports reads many passport photos in one go, one passport per photo. You see what each photo gave before anything is added: a pilgrim is created only when all three check digits agree and the photo was read twice with the same result, and a passport that is already in the group is skipped. The rest are listed so you can add them one by one with Read passport.
Import from Excel
If you already keep your travelers in a spreadsheet:
- Open a group and choose the import option.
- Download the template so your columns match.
- Upload your file — pilgrims are added in bulk in a few clicks.
Duplicate passports are detected automatically, so you won't create the same traveler twice.
Public booking form
Every group has a shareable registration link. Share it on WhatsApp or social media and pilgrims fill in their own details. Their submissions arrive as pending for you to review.
Optional passport privacy settings
In Agency Settings → Privacy and security, the owner can enable Collect passport details after registration. The public form then asks for names, contact details and a package; your team collects passport details later. Family members without passport numbers remain separate registrations and need the usual review before approval.
Enable Do not collect new passport scans to work with passport details without uploading a scan. Read passport and Scan passports read photos on the device without storing the image. Existing scans are not deleted when this option is enabled. After a trip, the owner can review them and use Delete trip documents on a finished group.
Two-factor authentication is optional and recommended. Open your profile for app installation instructions, QR setup and recovery codes.
Approving pilgrims
New registrations (and imports) may arrive as pending review. Approve them once you've checked their details. Only approved pilgrims count toward your plan's allowance and appear on official exports such as visa files and manifests.
